Maple Residential User Manual

How to use the public website and the resident portal, and how your team runs leasing, maintenance, rent, owner payouts and the website from the staff area.

Getting started

What the system does

Maple Residential runs a rental business from one place: the public website where people find a home, the resident portal where residents pay and ask for repairs, and the staff area where your team leases homes, keeps them in repair, collects rent and pays the owners.

Public websiteUnits, properties, tours, online applications, owner inquiries, contactfor visitors Resident portalLease, balance, pay online, repair requests, notices, deposit statementfor residents Staff areaLeasing, maintenance, money, ownership and payouts, website content, stafffor your team One set of records: properties, units, leases, money

Everything shares the same records. A tour booked on the website appears on Showings, an application becomes a lease in one step, a payment made in the portal shows on Rent and payments at once, and a repair request becomes a work order.

Getting started

Signing in

Staff sign-in
Staff sign-in
  1. Open your site and click Staff in the footer of any public page, or go to /AdminLogin.
  2. Enter your user name and password and press Sign in.
  3. If your account was just made, or a manager reset your password, choose your own password now (at least 8 characters).

The first sign-in on a new site

On the very first start the site creates the manager account admin with a password made only for your site. The sign-in page shows it on the computer the site runs on, and it is also written to appConfig/initial-admin.txt. Sign in with it and choose your own password.

Good to know

After 6 wrong passwords for the same user name, sign-in pauses for a few minutes. A manager can give anyone a new temporary password on Staff.

Signing out

Use Sign out at the top right. Changing your password signs you out on every other device.

The website has eleven pages: Home, Available units, each Unit, Properties, each Property, Apply, Owners, Residents, the Resident portal, Contact and Policies. Their words and pictures are edited on Pages.

  • A unit appears on the website when its property is shown on the website, the unit is marked Show on the website when it is free and it is vacant, being made ready or on notice. Its ready date is shown; for a home on notice that is the day after the move-out.
  • The footer of every page has the office address and hours, and the links Resident portal and Staff.
  • Every form saves for real: tour requests go to Showings, applications to Applications, owner inquiries and contact messages to Messages. Each one shows a confirmation to the visitor.

  • Rent collected is spread over the days its charge covers, and each day goes to the owners of that day by their share.
  • Expenses go by their date, or by day over the period they cover.
  • The management fee is taken from the rent each owner earned, at that owner's rate.

Questions

A unit is not on the website.

Check that its property is shown on the website, the unit is marked to show when free, it has at least one photo, and its status is Vacant, Make-ready or Notice. Occupied and Offline units are not shown.

I cannot change an ownership row.

A payout was recorded for that month. Rows that start in a paid month stay as they are. Record a new change from the first open month instead.

An owner statement shows a held amount.

Rent collected ahead or a bill paid ahead covers days after the statement month. It moves to the statement of the month those days fall in.

A resident lost the portal password and email is not set up.

Open the resident on Residents and make a new activation code. The resident activates again and chooses a new password.

Rent was posted twice by mistake.

Posting never charges the same month twice. If a charge is wrong, remove it on the lease account; the removal is written to the activity log.

Someone sees a page they should not.

Open them on Staff and remove View for that area, or limit their properties.

The first unit picture cannot be a video.

The first picture of a unit is its main photo on unit cards. Put a photo first; videos can follow.
